Document scanners are devices that enable fast and precise conversion of paper documents into digital files. As a result, documents are always available in clear digital form, making them easy to store, search and edit. Document scanners are indispensable in offices, banks and public institutions where there is a need for intensive work with paper documentation. With scanners, documents can be easily converted into PDF files, making them much easier to archive and share. In this chapter, we will discuss the basic functions of document scanners and their use in various industries.

Types of document scanners

There are several types of document scanners available on the market, which differ in functionality, performance but most importantly in price. The choice of the right model largely depends on the individual needs of the user himself but also the working environment. Many document scanning applications offer a variety of features, such as the ability to edit scanned documents and add various elements to them. Some of the most popular types of document scanners I describe below:

Flatbed scanners:

Ideal for scanning documents, photos and other paper materials. They provide high image quality and are easy to use. If you have few documents or they are damaged or stapled such as deeds, then such a scanner is ideal. Models such as the Canon LiDE 300 and Canon LiDE 400 are king here, with the advantages of high resolution (4800x4800dpi for the LiDE 400) and scanning speed of 8 seconds.

Flatbed scanners

Handheld scanners:

Useful for scanning documents outside the office or in places where there is no access to electricity. They are lightweight and portable, making them ideal for mobile users. In this category we can distinguish models like EPSON DS-70 is a budget i.e. cheap scanner that is cheap and good 🙂 . A compact and lightweight solution is also Brother DS-640.

Flatbed scanners

Desktop scanners:

Designed for offices and businesses that need fast and efficient document scanning. Equipped with an ADF automatic document feeder, they can scan large amounts of paper in a short period of time. With scanning applications, users can easily edit scanned documents, add signatures and other elements, increasing their functionality. Here the lead is the Ricoh fi-8170 which is fast and efficient, its PaperStream Capture software is in Polish. Another example is the Epson WorkForce DS-870 which scans documents just as fast and has an optional DS-5500 flatbed scanner.

Desktop scanners

Home office and small office scanners:

These solutions are compact and convenient to use, and allow quick scanning of invoices, contracts and other everyday documents - just like classic desktop scanners. Automatic feeder, intuitive operation, and often a convenient touch screen make digitizing simple and enjoyable. To this group we can assign, for example, the Ricoh Scansnap ix1600 equipped with intelligent scanning technology, individual profiles and a touch screen, the Brother ADS-3600W which is valued for its good scanning speed and versatile connectivity, and the Epson WorkForce ES-580W which scans everything from 27-409 g/m², including receipts, business cards, plastic cards, etc. and thanks to built-in sensors prevents paper jams.
